What Propertymark Means by Full Management
Propertymark describes a fully managed service as one where the letting agent “takes full control” of managing the letting. This includes tenant-find and rent-collection services, tenant correspondence, maintenance, inspections, check-in, check-out and deposit disputes.
At Greykey Estates, Full Management covers the complete letting journey: preparing the property, attracting a suitable tenant, setting up the tenancy correctly, managing it day to day and responding when something goes wrong.
We use technology throughout that journey, but our landlords are not left to operate the tenancy alone.
We Begin With the Property, Not a Template
Our service begins with a detailed consultation.
We take time to understand the property, its condition, the landlord’s objectives, the likely tenant profile and the local market. We consider the achievable rent, competing properties and any work that may improve presentation, safety or rental performance before launch.
A digital estimate may produce a number. We visit the property, examine what is actually there and explain the reasoning behind our advice.
We then create a marketing strategy suited to the home. We use high-resolution photography and state-of-the-art camera technology to produce accurate floorplans and strong visual imagery. Where the property and location justify it, we can arrange cinematic videography and drone footage, subject to permissions, safety and legal restrictions.
These are not superficial extras. Better presentation helps tenants understand the layout, setting and quality of the home before they enquire. It can improve the calibre of interest and reduce unsuitable viewings.
Software cannot attend the property, assess the light, select the strongest angles or capture the lifestyle surrounding the home.

We Manage Enquiries, Viewings and Tenant Selection
Once the property is launched, we respond to enquiries, qualify applicants, arrange and conduct viewings, answer practical questions and gather meaningful feedback.
When an application is received, we coordinate referencing, affordability and rental-history checks, and Right to Rent checks where required. We consider the proposed move date, household circumstances and any guarantor arrangement before presenting the information to the landlord.
The landlord retains the final decision. We provide the evidence and professional context needed to make it confidently.
The objective is not to install the first available tenant. It is to establish a tenancy with a suitable applicant and clear expectations from the outset.
We Set Up the Tenancy Properly
After an applicant is accepted, we coordinate the tenancy documentation, required pre-tenancy information and relevant safety records.
Where a cash deposit is taken, we arrange protection through the Deposit Protection Service and issue the required information. Where appropriate and agreed, we can also offer Reposit as an alternative.
We arrange an independent inventory through our partners so that the property’s condition is recorded professionally before occupation. We then coordinate check-in, keys, meter readings and the practical information the tenant needs.

We Remain Involved After the Keys Are Handed Over
At Greykey Estates, handing over the keys is the beginning of management.
We monitor and reconcile rent, provide landlord statements and respond promptly when a payment is late or incomplete.
We receive maintenance reports, assess urgency, communicate with the tenant and coordinate suitable contractors. We arrange access, review updates and keep the landlord informed. When a contractor identifies a larger issue, we help establish the next practical step rather than forwarding a message and leaving the landlord to solve it.
We arrange the first property inspection within approximately eight weeks of the tenancy beginning and ordinarily carry out two inspections per year thereafter. Our inspections consider condition, deterioration, occupancy concerns and whether previous works have resolved the issue.

We ask why it remains open and what must happen to close it properly.
We Deal With Property Problems, Not Just Administration
The true value of Full Management appears when the tenancy stops being straightforward.
A boiler may fail during cold weather. A tenant may report damp, mould or water ingress. Rent may stop without warning. A contractor may uncover a more serious defect. Responsibility for damage may be disputed.

Possession proceedings and property disputes depend on evidence, chronology and correct procedure. Notices, rent statements, inspection reports, certificates, photographs, contractor records and correspondence may all become important.
Throughout our management, we maintain an organised property file and clearer evidence trail. If formal action becomes necessary, we can help compile records, prepare a factual chronology and coordinate with an authorised solicitor or advocate. Where appropriate, we may provide factual evidence relating to our own management activity.
We are also clear about the legal boundary. Conducting litigation and exercising rights of audience are reserved legal activities. Greykey Estates does not replace an authorised legal professional. We support the landlord, preserve the evidence and help the appointed professional understand the tenancy history.
A system may store files.
It cannot investigate what happened or support a landlord through a stressful formal process.
We Manage Within a Changing Legal Environment
Since 1 May 2026, landlords can no longer serve new Section 21 notices. Possession will generally depend on an applicable statutory ground and the correct process.
This places greater importance on complete records, timely action and defensible decisions.
At Greykey Estates, compliance is not treated as a series of isolated reminders. We build it into the management process from onboarding onwards.
